Set Up Your Dealership in Vehicle Fair Trade

Your dealership’s name comes from the directory entry you claim when you create your dealership, and its texting number is provisioned automatically when you subscribe to a plan with SMS conversations. The dealership settings page is where you tune how evaluations and wholesale behave for your whole store.

The dealership settings page controls store-wide behavior: the default language for AI-generated text, whether a Carfax report is required before sending, the evaluation rules your team follows, and automatic team membership by email domain. You also invite your team here. The dealership name and texting number are set during onboarding and subscription, not on this page.

What you can configure

Open the Dealership settings from your account. The store-wide options you can change include:

  • Default language for AI-generated text, such as AI bid comments. English and French are both supported.
  • Require Carfax , blocks sending a vehicle to wholesalers until a Carfax report is attached.
  • Evaluation rules , whether a user can send an evaluation to themselves, create a manual bid without sending it, and edit an evaluation after it has been sent (and for how long).
  • Automatic team membership , adds anyone who verifies an email at your dealership’s domain to your team automatically, with no invitation needed.

These apply to everyone working under the dealership.

Inviting your team

The dealership settings page is also where you invite team members. Enter a teammate’s email and select Invite; they join your dealership, working from the same evaluations and conversations. If you prefer not to invite people one by one, turn on Automatic team membership: anyone who verifies a work email at your dealership’s domain is added to your team on their own.

What is set outside this page

Your dealership name and address come from the dealership directory entry you claim during onboarding. The phone number your wholesaler texts go out from is provisioned automatically when your subscription reaches a plan that includes SMS conversations; there is nothing to configure. Wholesalers see that number when an evaluation arrives, and replies return to it inside Vehicle Fair Trade, which keeps the wholesale thread shared and on the record. Contact Vehicle Fair Trade if the name or number needs to change later.

Add your buyer list

Before your first send, add your wholesalers. Managing your buyer list is a short separate task, and that list is where every evaluation goes. For a broader introduction, the overview explains how the pieces fit together.

Can I change my dealership’s name or texting number?

Not from the settings page. The name comes from the directory entry you claim at onboarding, and the texting number is provisioned automatically with a texting plan. Contact Vehicle Fair Trade if either needs to change.

What does the “require Carfax” option do?

It blocks sending a vehicle to wholesalers until a Carfax report is attached to it. Turn it on if a history report is a standard part of your wholesale process.

What is the language setting?

It sets the default language for AI-generated text, such as AI bid comments. English and French are both supported.

Can more than one person use the dealership?

Yes, and there is no seat limit. Invite team members by email from the dealership settings, or turn on automatic team membership so anyone who verifies an email at your domain joins on their own. Everyone shares the same evaluations and conversations.

Can I change these settings later?

Yes. The dealership settings are editable at any time.
